A Pivotal Role at the Heart of the OAS
As an Executive Assistant (Grade G07), you will be the backbone of the Chief of Staff's office. This is a full-time, short-term appointment with an initial contract duration of 12 months. The successful candidate will be a master of multi-tasking, responsible for managing a wide range of administrative, logistical, and communicative duties.
Your responsibilities will include:
Administrative Management: Handling a complex schedule, coordinating national and international travel, and preparing confidential correspondence and documentation.
Communication Hub: Serving as the key liaison between the Chief of Staff and officials from the General Secretariat, permanent missions, delegations, and the public. You will screen calls, manage incoming mail, and ensure all communications are handled promptly and professionally.
Proactive Support: Anticipating the Chief of Staff’s needs, you will research and prepare briefing materials for appointments, meetings, and missions, ensuring they are always up-to-date and complete.
Team Leadership: You will coordinate and oversee the work of other secretarial staff, providing guidance and ensuring the smooth operation of the office.
Who Should Apply?
This role is ideal for a seasoned administrative professional with a proven track record of providing high-level support. To be considered, candidates must have:
Education and Experience: A high school diploma or technical/commercial training with at least nine years of relevant experience in administrative or secretarial work. Alternatively, candidates with advanced training and seven years of experience will also be considered.
Language Proficiency: A high level of proficiency in at least two of the four official OAS languages: English, French, Portuguese, and Spanish. A language proficiency examination will be required.
Computer Skills: The ability to work effectively with Microsoft Office (Outlook, Word, Excel) and other relevant software.
Personal Competencies: A strong client orientation, excellent interpersonal skills, and a collaborative teamwork mindset are essential for success in this role.
