Key Responsibilities: Driving Program Excellence
The Program Officer acts as a pivotal link between the field, the foundation, and stakeholders, ensuring the program's objectives are met efficiently. Your core responsibilities will focus on program monitoring, stakeholder engagement, and team coordination:
1. Strategic Planning & School Outreach
You will be responsible for School Mapping to meet program targets and Profiling beneficiaries ("NKs") to ensure compliance with donor requirements. This involves meticulous tracking, cross-verification, and approval of profiles within the system.
2. Stakeholder and Partnership Management
A crucial element of the role is Engagement with the stakeholders, including government officials and school authorities. You will be instrumental in strengthening partnerships to guarantee the timely achievement of program outcomes. Furthermore, you will be the main point of contact for Donor Visits, requiring planning and preparation to showcase the program's impact.
3. Monitoring, Supervision, and Team Development
You will Monitor the performance of Field Staff (SAs) by tracking their daily presence and performance. This includes regular Monitoring Visits to ASCs (After School Centres) to observe training sessions, verify attendance, and collect feedback from school authorities. You are also tasked with Capacity Building, organizing regular training programs for SAs focused on essential skilling components.
4. Program Logistics and Reporting
The PO manages several logistical and administrative tasks that ensure smooth operations:
After School Program: Ensuring daily sports activities and full engagement of beneficiaries.
Sports Activities: Overseeing the timely conduction of Village and District-level Toofaan games and other league matches, and ensuring results are uploaded.
Dropout Management: Efficiently verifying and documenting Dropouts & Replacement profiles with necessary supporting documents (Consent forms, Transfer Certificates, etc.).
Budgeting and Assets: Reviewing monthly expenses and budgets prepared by the Area Finance Officer (AFO) and regularly reviewing the Asset Inventory.
5. Documentation and Media Management
You must ensure diligent documentation of all program activities. This includes preparing Monthly, Quarterly, and Event Reports, developing impactful Case Studies, and maintaining accurate beneficiary and school databases. A key element is Media Management, ensuring photo and video documentation of all events is regularly maintained in a shared drive.
